Web site Strategies for Your business.

1) Introduction

A web site is supposed to be one of today’s most essential tools of operation. Every commercial activity from shopping for consumer goods, to technical consulting, to manufacturing; everyone needs to use this inexpensive tool for promotion of business. The web site of any business establishment if planned & developed properly could impart certain advantages & benefits to the organization.

Improvement of efficiency in communication, 24 hours availability of your company information, Promotional advantages are a few to name.

Every commercial activity could use web sites in a very peculiar way.  Indian businesses small, medium or large, have to use this tool of efficiency if they want to upgrade their services to global standards.

2) What is Internet

We have heard of the information highway, & the world Wide Web (WWW).

Internet is a worldwide virtual network of digital information. We generally Log in to the internet by dialing a certain number provided by our Internet Service Provider (ISP) (for example VSNL). The other way of entering this information highway is by some broad band connection provided by another Service provider ( for example Dishnet DSL) So these ISPs give us the necessary entry point to access the internet using our personal computer. Once we are connected to the internet, the virtual world on WWW opens in front of us. The software we use to brows through the www is called the internet browsers. (The most famous browsers are Microsoft Internet Explorer, Netscape Navigator,) These softwares know the language of the internet & communicates with the internet. The information on the internet is brought to the users using a programming language called HTML. To identify the address on the internet, a user friendly system has been incorporated which uses domain names. A Domain Name is a Unique path of a web site which generally points to some physical space on the hard disk of servers. Servers are the computers which are logged on to the internet on a 24 hours x 365 days basis.

http://www.yahoo.com is an example of one such popular domain or a web site. As you type this address in the address bar of the browser window & press enter on your key board, the browser sends a query to this particular web site & retrieves a web page which is a front end of the vast information that is hidden behind the screen on to your computer. By clicking on to the Links provided, one could brows through the web site & see what information offered on that web site.

3) What is a web site

A web site comprises of these main things: 1. Domain Name  2.Web space which is on a 24x365 server 3. The actual information structure which is necessarily a kind of software program which has a lot of information about the company.

a) Domain Name:

http://www.yahoo.com This unique address on the World Wide Web has basically three components. 1) http://www. This is a generic jargon used to indicate this is a web address. 2) Domain name like yahoo  This could be chosen & booked by the company or the individual. 3) The extension postfix of the web site. .com  Now that there are many extensions available .co.in, .net. .org, .biz etc. These extensions define the purpose of the web site, geographical location etc.

b) Web Space:

The amount of space one books from the server on which the web site is hosted. ( There are various companies providing the service of hosting a web site space. These companies maintain the 24 hours x 365 days un interrupted connectivity through a gateway to the internet. Depending on the amount of information, one could chose from 5 MB to 100 Mb to any higher value of the web space. Generally a basic web site of any company could be easily developed in minimum of 5 Mb web space.

c) The web site

(designed interactive program) The web site is necessarily a program which interactively displays information. Interactive ness of this media enables the user who is browsing to decide which section of information he or she wants to see. The choices are made by just pointing & clicking the curser with the help of a mouse. For example the web site could have links like Contact Us Once the user clicks on this link, the program automatically displays the contact information like postal address, phone numbers, fax numbers etc. Mail us button could be clicked by the user if the user wants to E-mail directly to the web site owners email address.

d) Email Address:

If the Web site is generating enquiries, the owner of the web site must access the email address regularly in order to check any mails on your email account.

4) Purpose of the web site

Before developing & hosting a web site it is extremely important to decide the purpose of the web site to your specific business. Web site is a tool which could be used to achieve specific targets. The basic purpose of the web site could be as follows:

a) 24 x 365 online information about your company:

Your office works 8 hours a day, 5 days or 6 days a week. Your staff & yourself is not always accessible for communicating what are your service offerings, your capabilities & information about your past projects etc. The Web site could be a source of all such information which virtually works 24 hours a day 365 days a year. At a very negligible cost.

b) Online portfolio:

If a new client is interested in seeing your past works, your capabilities & details about your team, infrastructure etc. Web site is the best place to share such an information. You can just send a URL of a specific link on your web site which could be accessed by the prospective client to see all the information about a particular project. In fact the user could access some of your other projects also to learn that wow they are into interior design also, let me get my interiors also done up by this same company.

c) Virtual office accessible from anywhere:

Web site could be used as a virtual office which could be accessed from anywhere in the world by yourself or your staff members. Standard formats of quotations, covering letters, MOUs, Agreements, or presentation could be available on the web site. You could be in Mumbai or Delhi, just access your virtual office & use any of these formats. Complex functionality also could be planned & developed for high tech working styles.

d) Web site as a promotional tool:

Web site is the most inexpensive tool of business promotion. Proper Search Engine registration & Meta Tags organization could ensure the targeted traffic of prospective clients to your web site. Imagine  this marketing front end of your company working 24x365. Efficiently showing the structured information about your company, your service offerings, & projects to the prospective or existing clients.

You need to promote the web site off line also. This means printing the web site address on all the literature, letter heads, visiting cards, of your company. Even mailing the address to all of your existing clients, & requesting them to visit the web site for more information would help.

e) Advanced options:

Web based solutions for complex working could include: Web based costing, tools for interior projects, Web based concurrent engineering solutions where the structural engineers & architectural designers work at once to complete the projects in real time.

5) Use of E-mail

Electronic mail is fast replacing the Conventional Snail Mail & fax communication. The primary reason being the cost of communication is cut down drastically. The second reason is this is a very fast media of communication. You as architects must be anyway's using E-Mail media of communication. E-mail could work wonders if you have a web site.

A) Communication media

Your could have your email address of your own choice. yourname@companyname.com This clearly indicates that this company has a web site also & the web site address is http://www. companyname.com You could create email addresses for your key employees also for better communication methods.

The email addresses would have the Identity of the architectural firm because it carries the domain name of your web site.

B) 2 types of email addresses

1)     Web based email addresses. Like yourname@yahoo.com these email addresses have to be accessed while you are connected only. You will need to answer back to the e-mail while you are still connected only.

2)     The second type is a POP E-mail address which could be used in a very peculiar way. The email software on your computer (Like Outlook Express) could be configured to access this pop email address. When you log in to internet, with a click of a button, your emails are down loaded to your computer which you can read at leisure (Offline) and even reply to these emails (while offline) the email reply would be stored in the out box of your email software & when you connect again are sent to the desired email address.

C) Web promotion thru mail headers & footers:

Defining signatures of your email. Your web site links could be the headers or footers of your email formats. This ensures that every one receiving an email from you could just click on the active links in the email header to visit your web site.

D) Advanced presentation tools:

Small interactive presentations or Microsoft power point presentations could be sent as attachments to the e-mails. These presentations could be images, sketch plans, of current projects or scanned photographs of  past projects.

6) Other advantages of the Internet

1. Information source:

Internet is the abundant source of latest information. Information about latest technologies, latest products, case studies are easily accessed on the internet.

2.  Net meetings, virtual presentations:

Presenting & meeting clients who are very far & probably overseas, is possible with this amazing media called internet.
